Best COI tracking software in 2026: an honest comparison with real prices
Updated October 2026. Written for US construction and property firms.
Most "best COI software" lists are written by a vendor that ranks itself first. We make CoiPatrol, so read this with that in mind. We have tried to be fair anyway. That includes saying where other tools beat ours.
What is the best COI tracking software for a small contractor?
It depends on your size. Under about 10 subs, a free spreadsheet or a free tier is enough. Between 10 and 150 subs, a self-serve tool with public pricing usually fits best. Past 500 vendors, or if you need carrier verification or a review team, an enterprise platform is worth its higher price.
How do the main COI tracking tools compare on price?
Most enterprise tools do not publish a price. You get a quote after a demo. Third-party estimates put entry plans at roughly $1,000 to $3,000 a year. Some tools charge a $7,500 or $10,000 minimum. Self-serve tools publish their prices, with free tiers and paid plans from $19 to $199 a month.
| Tool | Price | Self-serve signup | Who it is actually for |
|---|---|---|---|
| myCOI | Quote only. Third-party estimates $1,500 to $3,000 a year to start | No, sales call first | Mid-size and larger firms that want a managed service and accept a longer onboarding |
| TrustLayer | Free up to 50 vendors after a fit form. Paid tiers behind a demo | Partly | Growing firms that want automation and are fine talking to sales to upgrade |
| Jones | Custom, priced per record | No | Property management and real estate companies with large vendor lists |
| Billy | Custom. Estimated $200 to $800 a month | No | Construction general contractors running many projects at once |
| bcs | Free up to 25 vendors. Self-service $0.95 per vendor a month. Full service from $10,000 a year | Yes, for self-service | Firms that want a cheap self-serve start with the option of a full-service team later |
| SmartCompliance | From about $1,000 a year | No | Firms that want compliance services alongside the software |
| Certificial | Requestor plans from $99 a month | Yes | Firms that want live policy data shared from the insurer instead of static PDFs |
| CertFocus (Vertikal) | $7,500 minimum plus implementation fees | No | Large owners and contractors with thousands of vendors and a full review team |
| Expiration Reminder | Published plans. Check their site for current prices | Yes | Teams tracking many kinds of expiring documents, not only insurance |
| CertCove | Free tier available | Yes | Small contractors who want a simple free start |
| YourStanding | Free plan. Starter $29 a month | Yes | Small firms willing to try a newer tool with no public reviews yet |
| COI Watch | Free up to 25 subs. Paid plans $29 to $199 a month | Yes | General contractors who want subcontractor W-9 forms tracked alongside certificates |
| COI Guard | Three plans, $19 to $79 a month | Not yet, waitlist only | Property managers. A newer tool, not yet open for direct signup as of October 2026 |
| CoiPatrol | Free up to 10 subs. $49 a month up to 50. $99 a month up to 150 | Yes, no sales call | Small construction and property firms with 5 to 150 subs and one busy office admin. No carrier-direct verification and no managed review team |

When should you pick an enterprise COI platform instead?
Pick an enterprise platform if you manage 500 or more vendors. Pick one if you need certificates verified directly with the insurance company. Pick one if you want a team of people to review every certificate for you. Those are real needs, and tools like myCOI, CertFocus and bcs full service meet them well.
Enterprise tools also suit firms where the insurance or risk department, not the office admin, owns the process. If that is you, the onboarding time and the price are worth it.
How does CoiPatrol compare with COI Watch and COI Guard?
All three are small-business tools with public prices. COI Watch has a bigger free tier, up to 25 subs, and tracks W-9 forms, which suits general contractors well. COI Guard starts cheaper at $19 a month but is waitlist only. CoiPatrol is open now, free up to 10 subs, then $49 or $99 a month with no per-vendor fees.
If you are a general contractor and want W-9s in the same place, try COI Watch. If you manage property and can wait for a waitlist spot, COI Guard is worth a look. If you run construction or property work, want to start today, and want a price that does not change with every vendor you add, try CoiPatrol.
What are CoiPatrol's limits?
CoiPatrol does not verify policies directly with insurance carriers. It does not include a managed team that reviews certificates for you. It is built for up to 150 subcontractors, not thousands. It is also a new product with no public reviews yet. It reads the certificate and reminds your subs, and you stay in charge.
What it does do: you upload an ACORD 25 PDF and CoiPatrol reads the dates and limits. A green, yellow and red dashboard shows what is expiring. Reminder emails go to your subs at 30, 14 and 7 days, under your company name. You can export everything before the audit.
What is a good myCOI alternative for a small company?
A good myCOI alternative for a small company publishes its price and lets you start without a sales call. Third-party estimates put myCOI near $2,000 a year to start. CoiPatrol is $49 a month for up to 50 subs, free up to 10. bcs self-service, COI Watch and YourStanding are also self-serve.
What is a good TrustLayer alternative?
TrustLayer's free plan for up to 50 vendors is generous, so try it first if you fit its form. If you want to skip the fit form, or you need a plan with a public price above the free tier, look at a self-serve tool. CoiPatrol, bcs self-service and YourStanding all publish their prices.
How much does COI tracking software cost?
Enterprise platforms like myCOI and TrustLayer are quote-only and commonly cost several hundred dollars a month. Small-business tools run roughly $29 to $99 a month. CoiPatrol is free for up to 10 subcontractors and $49 a month for up to 50.
Do I need COI software at all?
Not always. A spreadsheet works with a handful of subs if one person checks it every week. It breaks at the follow-up, because it cannot send renewal reminders. If you are chasing more than about 15 subs, or a lapsed policy has already slipped past you, software is cheaper than the gap.
